Description/Job Summary

The Program Assistant Advocate/Dental Assistant provides multi-task clerical and translator support for dental clinic operations. Under general supervision by a licensed dentist, performs general chairside and clinical functions related to patient dental care, as permitted by the Maryland COMAR regulation. The person in this position will schedule and confirm appointments for all types of appointments including Spanish speaking. This position will work directly with patients,residents, pre-doctoral students and staff.


Responsible for telephone coverage of the front desk, taking and distributing messages, and answeringallcallers’ questions. Main focus is with Spanish speaking parents and children.  

Provides excellent customer service to patients arriving for appointments. Informs faculty, students and staff to inform them of patient arrival. 

Schedules appointments to accommodate all patients with main focus on Spanish speaking parents and children (referral based); resolves scheduling conflicts and fits in emergency appointments. 

Confirms appointments with patients for the next business day. 

Verifies contact information and that insurance or medical assistance are still in force. Gets insurance pre-authorization of coverage. 

Informs patient of today's charges and any previous balance due before any service is rendered. 

Requests payment for any procedures in accordance with the University of Maryland Dental School's policies and procedures guidelines.   

Responds to inquires about patient's account.

Requests payment when account is delinquent; may assist Patient Account Specialist to correct errors when necessary

Handles day-to-day payment transactions: makes change; receives checks; processes credit card transactions; issues receipts; validates parking. 

Processes and reconciles daily receipt with AxiUM daily ledger and deposit receipts into the night deposit box.

Checks with community partners for numerous grants.

This position will email regularly to update on program developments and needs. 

This position will prepare reports for numerous grants for faculty review. Will work closely with the grant coordinator/account specialist. 

Supports Spanish interpretation in the dental clinics.  

As needed perform general chairside and clinical functions related to patient dental care, as permitted by the Maryland COMAR regulation. 

Assists dentist in most procedures; anticipates needs for instruments,aspiration, special tools and supplies. 

Expose dental diagnostic x-rays. 

Provide postoperative instructions prescribed by dentist

Required Skills

Thorough knowledge of the principles of dental assisting theory, technique, and practice.

Skilled in procedures using sit-down four-handed dentistry techniques. Skilled in the use of dental instruments and equipment.

Ability to wear and work in personal protective equipment.

Knowledge of standard office procedures; must able to operate computer and other office machines, such as fax, calculator, answering telephones, as well greeting visitors and so on. 

Skilled in filing documents according to alphabetic and numeric sequences; in operating manual and automated office equipment;

Ability to apply pay close attention to detail while performing routine clerical tasks. 

Ability to follow oral and written instructions.  

Ability to maintain effective work relationships.

Required Experience

1 - 3 years’ related experience. Employees in this job class must be CPR certified andare obligatedto meet and maintain Maryland State Radiology Licenseor National Certification requirements for dental assisting and dental radiography. This person must be able to communicate in Spanish both written and speaking.  

Required Education

High school diploma or general education degree(GED); successfully completed Maryland State recognized dental assisting program. 

Required Qualifications
